Concurrent planning in the age of volatility & disruption

The Covid experience has underlined the importance of agility and being able to adapt to changing circumstances. In many cases, existing S&OP / IBP processes have struggled with a much higher demand for scenarios, cycles having to begin before the previous cycle is finished and a highly unusual operating context requiring decisions to be escalated or reviewed more frequently. 

Can a concurrent (as opposed to linear or sequential) planning approach help? How?

We aim for 5-8 active discussion participants. Others may also join and we'll invite input from everyone before and during the session. The key questions to address include:

  • What are the people, process and systems barriers to better coping with volatility?
  • What lessons can we learn from the pandemic experience so far and recent implementations?
  • How to demonstrate concurrent planning RoI in six weeks

Moderated by Intent, this is an interactive discussion shaped by participants' input with opportunities to continue conversations with individual participants afterwards.

      Key takeaways
      Trust: there must be trust in the forecast. To have trust in the plan it must be simple and quick to interpret. A forecast should be a plan, not an output from a model.  Speed of scenario modelling, S&OP process, is a key challenge, otherwise the business can move on by the time a scenario is modelled. Agility and speed of reaction are key: don’t overcomplicate the plan with excessive data to ‘prove’ the answer where it’s not asked for. Senior management engagement – Their involvement is key to drive difficult decisions during the IBP meetings. Its’ best to start simple and they don’t necessarily want all the data for key decisions...often, less is more. However, having the ability to drill-down will inspire confidence that there is backing to the numbers. A structured approach is required to manage forecast complexity:  All the items don’t need same amount of focus. Consider automating processes around C-class SKUs. Context
      Why the need to reduce latency?  Covid has highlighted for some that they must be able to to react quickly - clear need for greater agility. Fast moving times - business strategy can move on before plans can be modelled Challenges
      Workload - vol of data, speed, dimension, number of requirements & scenarios Planners should be modelling A, B SKUs Data is complex, tools and process are complex, outputs are complex: complexity can put off other functions, and lead to questioning of the data rather discussing the plan Speed Need for fast intra-day answers  For some, the next S&OP cycle starts before the current cycle has finished, ie S&OP monthly S&OP cycles of 30+ days. Judgement calls still required on all decisions Manufacturing: needs to account for a lot of engineering time The further up the supply chain, the harder it is to have an accurate forecast Process & people
      How do we create more trust around the numbers? Supply chain/SC tools or complex analysis are perceived as a complex, opaque process; this inhibits ‘trust’.   Lots of time can be spent on the process, results often disappoint Make numbers simpler, easier to understand, quicker to interpret If sales and marketing functions understand the data, they will ‘come to the meeting’ Get process right first Segment customers by behaviour rather than just geo, or channel? Where is the latency with events? t-1: Prediction  t1: Detection t2: Filtered to right people? t3: Managed? On time? One strategy is to split focus of team into Now, Next, Beyond - can achieve better picture of demand Often, 80% of value opportunity is between t-1 and t3:

      Getting right tools for job: job needs to drive tool, not other way around Too many tools, not enough integration can cause organisations to act in silos Transition into various tools: SC centered but accessible to other functions Dashboards and simplified visualisation are helpful to buy-in and consensus.. Can the tool choose the right forecasting model? What use cases did participating members report?
      Manuf, anomaly detection & maintenance. Detect habitual over/under forecast!
